Seeking Nominations for CES Director of Information Management and Technology

CES is searching for a new Director of Information Management and Information Technology (DIMIT) who will hold office for a three-year term, starting July 1, 2024. Nominations will be accepted for three weeks, until May 1, 2024.

The role and duties of the DIMIT are outlined in the TOR 15 – Director of Information Management and Information Technology, shown below. If you have questions or would like to discuss the responsibilities of the DIMIT, please contact Brian Case, current DIMIT.

Interested candidates are required to provide the following in a PDF document:

  • A statement of why they wish to serve in the position and what relevant experience, skills, and knowledge they possess. Assets to highlight may include experience managing IT assets, experience working with Google Workspace, bilingualism in French and English, Credentialed Evaluator designation.
  • A copy of their curriculum vitae (CV) with relevant education, employment, and volunteer experience.

Candidates’ submissions will be posted for the membership to review.

In the event that more than one valid nomination is received, an electronic vote will be available for membership voting. Voting will remain open for 21 calendar days.

If only one nomination is received, it will be reviewed for approval by members of the CES Board of Directors, and this person will be acclaimed following the review period.

To be officially nominated, all candidates must send their background information to the CES Secretariat no later than midnight Pacific Time on May 1, 2024. Nominations are to be sent to secretariat@evaluationcanada.ca.


TOR‐15: Director of Information Management and Information Technology

Purpose

The Director of IM/IT is responsible for the management, implementation, and usability of information and technologies owned and used by CES.

Roles and Responsibilities

  • Maintain an up-to-date inventory of all IM/IT solutions used by CES.
  • Manage all technology-related service contracts and budgets.
  • Manage access to, and use of, technology among Board members and external (non-Board) volunteers and contractors.
  • Assist with onboarding/offboarding of Board members and external (non-Board) volunteers and contractors to CES IT assets.
  • Develop policies, procedures, and standards for technology use and information management that are aligned with CES’s core values. Director IM/IT will liaise with National Board of Directors’ advisors and committees on key areas such as UNDRIP, equity, diversity, inclusion, accessibility, and sustainability to ensure this alignment.
  • Provide advice and guidance to the Board on technological solutions and information management.
  • Perform periodic reviews and make recommendations about upgrades or removal of technology, as necessitated based on organizational needs and financial limitations.
  • Identify risks associated with technology and propose appropriate mitigation strategies for Board consideration.
  • Liaise with Chapters to identify gaps and opportunities for technological enhancement, and assist in the planning and implementation of technology, if and as requested/required.
  • Work closely with the CES Privacy Officer (the Director of Governance and Process) to secure and manage personal information and other sensitive data. This includes the review and possible (re)designing of IM/IT functions, balancing principles of privacy with transparency and accountability.
  • Act as CES’s data steward, responsible for overseeing data usage and related security/data policies in collaboration with the Director of Governance and Process.
  • Develop, implement, and manage technological solutions on an ongoing basis, with particular emphasis on the safeguarding and security of information.
  • Maintain a file storage architecture.
  • Develop strategic and operational IM/IT plans that incorporate the goals and objectives articulated in the CES Strategic Plan in collaboration with members of the Board, volunteers, and contractors.
  • Liaise with Executives, Directors, Chairs of CES Committees, working groups, and task forces to gather respective IM/IT requirements and provide advice and assistance in the implementation and operation of their IM/IT assets, as required.
  • Convene working groups and/or task forces, as required.
  • Create an annual budget for CES IM/IT. Maintain IM/IT aspects of operations manual.
  • Contribute to the CES Annual Report, as required.
  • Liaise with service providers managing IT assets, information, and data that is stored on service providers’ servers (e.g., the DNA system holding member personal information). Director of IM/IT will work with the Director of Governance and Process to ensure service providers are adhering to CES’s Privacy Policy, and other relevant policies, as required.

Appointment and Term

The Director of IM/IT will be appointed by the CES Board as a Director at Large in accordance with the bylaws. The term of the position will be for three years, renewable by the Board.

Desirable Qualifications

  • Education
    • Education credentials or experience that are commensurate with the duties of this position.
  • Skills and Experience
    • Demonstrated leadership and project management skills.
    • Experience in managing digital assets, particularly Google Workspace.
    • Effective communication regarding technology with individuals with varying levels of understanding of information management and information technology.
    • Membership in the CES.
    • Strong team player.
    • Bilingualism is an asset.
